Reconciling credit card payments doesn’t have to be a headache. Whether you’re running a retail store, clinic, or restaurant, credit card deposits can get confusing, especially when you’re trying to match your sales to your bank account. We’re going to cover 5 simple ways to make your reconciliation process easier, faster, and less error-prone.

1. Batch Once Per Day - at the Right Time

What Is “Batching”? 

When your payment solution, such as a POS Machine or Payment Gateway “batches out,” it sends the day’s transactions to your processor so the money can be deposited into your bank account. AKA Batch Settlement.

• Set all terminals to auto-batch once a day, at the same time, at the close of business.

• Make sure your processor set up batch times correctly across all devices.

• Check the timestamp on your batch reports to confirm they’re aligned.

2. Take Advantage of Same- and Next-Day Funding

What are Same-Day and Next-Day Funding?

You get your credit card deposits in your bank account the same business day or next business day after the sale.

Why It Matters

You can reconcile more quickly

If you don’t have these faster funding times, deposits can take 2-3 business days, especially if you’re batching late or over the weekend.

This delay can lead to missed discrepancies or make it harder to track down issues.

• Ask your processor if you qualify for Same-Day or Next-Day Funding.

• To get it, you usually need to batch before a cut-off time.

3. Consolidate Multiple Providers

The Problem

You might be using different systems for different parts of your business: 

• One system for in-office payments

• Another for your website

• A third for mobile or text payments

• Net Deposits: Fees are taken out before the deposit hits your account.

Why Gross is Easier to Reconcile

Your bank deposit matches your batch total-simple math.

Easier to catch mistakes, wrong fees, or accidental refunds.

You’ll see the full amount without needing to do extra calculations.

  • Ask your processor if you can switch to gross deposits. 

  • If not, just make sure you know where to find the daily fees they’re deducting.
